As the sole official furniture contractor, Xpect will provide a complimentary furniture allowance for each event, as detailed within the tender document. This allowance is designed to fully support organiser requirements across all key functional areas, including organiser offices, lounges, first aid, security, front of house, feature spaces, and press offices.

Should additional items be required beyond the allocated allowance, these will be supplied at a highly competitive discount, ensuring flexibility while maintaining strong cost control.

This structured and flexible commercial model ensures clarity, value for money, and the ability to scale requirements efficiently — supporting both organiser needs and exhibitor satisfaction.

Xpect will appoint a dedicated Site Manager to take full responsibility for the on-site delivery of your event. Acting as a single, accountable point of contact, they will oversee the entire build process, manage all personnel, and ensure efficient coordination throughout.

The Site Manager will proactively identify and resolve any issues, ensuring they are handled swiftly and effectively with minimal disruption. They will also conduct comprehensive site inspections and risk assessments in full compliance with current legislation, always maintaining the highest standards of health and safety.

As standard, Xpect provides full on-site service during exhibitor load-in (subject to client requirements). This includes complete furniture installation, de-bagging, and precise positioning of all items in accordance with the agreed layout and specifications.

Our approach is detail-driven and client-focused. We remain on-site to oversee delivery and final checks, ensuring that all elements meet your expectations and are signed off to your satisfaction — delivering a seamless and fully managed experience from start to finish.

We’ve made the ordering process as seamless and convenient as possible. All exhibitors can quickly place their orders online through our secure website or via a dedicated direct link provided by Xpect — ensuring a fast, hassle-free experience.

To make things even easier, an interactive order form will also be available within the exhibitor manual, giving exhibitors flexible and user-friendly ordering options.

Our responsive and experienced Xpect customer service team will be on hand via email and phone to assist with any queries. In addition, you will benefit from a dedicated customer service contact, providing personalised support and ensuring smooth, proactive communication throughout the event.

To support exhibitors on-site, a fully staffed Help Desk/Service Desk will be operational in the hall during the final day of build-up and from 8:00am on opening morning. This ensures any last-minute requests or queries are handled quickly and efficiently.

We will also have a range of spare furniture available on-site, allowing us to fulfil last-minute orders immediately — giving exhibitors complete peace of mind.
